​PhD Support - Proposal Review Process

  • First, the student works closely with the supervisor/s to complete a well-supported and polished research protocol​
  • Students should refer to our FMHS Proposal Writing Guide
  • When the supervisors believe the proposal is ready for review, the supervisor and HoD complete their sections of the
    Form A3 review checklist (before the review)
  • Obtain the CVs of the student and any external supervisors
  • Include any pre-existing ethics approval certificates
  • The departmental chair/convener (not the supervisor), who constitutes the committee; distributes the documents; and finally completes the Form A3 review checklist
  • CPR representative - allocated by the Tygerberg Doctoral Office
  • HREC representative - list of members available here
  • One ore more domain expert(s), who must each complete the reviewer form
  • The student presents the proposal to the panel and afterwards, makes all the recommended changes before re-submitting
After the successful completion of the review, the convenor or supervisor emails the following five PDF-format documents to the Tygerberg Doctoral Office ( in a single email, copying the candidate:​
    • Supervisor letter confirming that all requirements of the review committee were met​
    • Fully completed and signed Form A3 review checklist
    • Summary report by chair or all reviewer reports​
    • Final, edited proposal for ethics submission​
    • Turnitin report on the final proposal​​​​ (similarity score of no more than 15%)
